Broker Communication Scripts That Work

Consistent, professional broker communication protects rates and builds repeat business. These scripts cover the most common check-call, price-negotiation, and problem-resolution scenarios.

Check-Call Script

"Hi [name], this is [carrier] calling with a status update on load [number]. Driver [name] [checked in / is en route / on schedule for appointment]. Any questions?" Keep it under 20 seconds.

Rate Negotiation

"That rate doesn't cover our operating cost of $[X]/mile on this lane. We can commit to [Y]/mile — that's the number that keeps us reliable for repeat business." Never anchor low.

Problem Notification

"Update on [load]: [problem] happened. Current status is [X]. New ETA is [Y]. Let me know how you'd like me to proceed." Lead with facts, then options.

Requesting Detention

"Driver arrived at [time], loaded at [time] — that's [X] hours over the free window. Please add $[Y] in detention to the load."
